General Position Summary: The Administrative Assistant for the Department of Music and

Liturgy is responsible for information management in all areas related to music and liturgy.

Principal Accountabilities:

Liturgy -

  • Assists with purchasing and maintaining of liturgical supplies.
  • Assists with the preparation of special liturgical events; including any need for
  • worship aids and setup/breakdown of liturgical spaces.
  • Assists with maintaining Liturgical plans in Planning Center Online Services
  • program.
  • Assist with scheduling of wedding anniversary blessings
  • Prepare Reader binder of entrance and communion antiphons for Mass
  • Assist with preparing, printing, and distributing liturgical books for weekend Masses
  • and special liturgies
  • Keep updated digital file of Mass counts
  • Assist with collection of OCIA Baptismal certificates
  • Manage Volunteer Group for Vestment Cleaning
  • Attend and help prepare, as necessary, liturgical ministry lead meetings

Baptism Ministry –

  • Intake and Contact Parents seeking Sacrament of Baptism for their child
  • Collect all necessary paperwork needed for the sacrament
  • Maintain monthly Baptism Classes registration website and parish communication
  • Maintain bi-monthly Group Baptism schedule
  • Staff Liaison for Baptism Ministry
  • Maintain Baptismal Supplies needed
  • Reporting children who have received the sacrament to Database Manager

Music Ministries -

  • Print hymn packets for Adult Choir members for weekend Masses, special liturgies,
    • and funeral Masses
    • Print Cantor packet for weekend Masses, special liturgies, funeral Masses, and
    • wedding Masses
    • Maintain GSCC choral library, oversee volunteers as needed
    • Assist with purchasing music and supplies needed for Music Groups

General responsibilities -

  • Attend parish staff gatherings and Music and Liturgy team meetings as scheduled.
  • Attend continuing education opportunities related to responsibilities.
  • Responsible for all other projects, tasks, etc., as assigned.

Typical Decisions and/or Recommendations Made in This Position:

  • Will make decisions on timing of replenishing supplies.
  • Will decide on vendors from a recommended vendor list.

Working Conditions and/or Physical Requirements:

  • This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads.
  • Ability to sit and perform computer work for lengthy periods of time.
  • Able to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves, climbing up a stepladder to access files.
  • Ability to accept work interruptions while still remaining focused on duties.
  • Data entry via computer keyboard that requires repetitive and frequent hand and wrist movements.
  • Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance.

Travel Requirements:

  • Infrequent travel, by car, may be required to Diocese Parishes and/or schools.

Education and Experience Preferred:

  • High School Diploma or G.E.D.
  • Computer proficiency in Excel, Outlook, Word, and PowerPoint.

Knowledge and Skills Preferred:

  • Demonstrated ability to listen empathetically, make peace, and de-escalate
  • Demonstrated history of good judgement.
  • Demonstrated aptitude for adaptability and flexibility.
  • Ability to use various computer software programs; strong computer skills in Microsoft Office Suite, especially in Word and Excel.
  • Ability to use various office machines (copier, fax, phones, calculator, scanner, etc.) or ability to learn.
  • Ability to meet deadlines and follow directives from Pastor or Chief of Staff in a timely manner.
  • Ability to receive, understand, retain, and complete verbal and written tasks.
  • Ability to work independently as well as in teams.
  • Ability to provide excellent customer service and work efficiently with staff, clergy, religious, and laity.
  • Ability to honor and maintain confidentiality.
  • Ability to work well with people from a diverse variety of audiences.
  • Excellent organization, prioritization, and communication skills.

FLSA Designation: (Non Exempt) (FT = 40 of hours) (Monday through Friday)
