Fleet Manager

The Fleet Manager is responsible for the overall management and strategic oversight of the company’s light-duty vehicle and trailer fleet. This role ensures efficient operation, regulatory compliance, cost control, and ongoing support for field and operational teams. Core functions include vehicle acquisition, registrations, preventive maintenance and repairs planning, vendor management, telematics/GPS monitoring, and company motor vehicle policy compliance.

The Fleet Manager will actively review vehicle usage and driver behaviors, through use of telematics systems, and will collaborate with supervisors and management to assist with timely driver coaching and corrective action. This role also requires prompt response to all vehicle-related incidents, accidents, and traffic violations—ensuring appropriate follow-up, documentation, and driver accountability.

This position will work closely with the Safety Director to support post-incident driver training and coaching, reinforcing safety expectations and helping reduce overall Company risk.

Beyond daily operations, the Fleet Manager will be expected to provide high-level reporting and insight to company Presidents and the CEO to support leadership decision-making and long-term planning. Such reports include fleet trends, accident history and trends, vehicle ordering/replacement and pricing data, maintenance forecasts, and analysis of driver activity.

Duties:

  • Manage the acquisition/purchase of all fleet vehicles and trailers.
  • Forecast fleet purchases
  • Plan for vehicle replacements / rotations
  • Implement Preventive Maintenance Programs:
    1. Develop and enforce PM schedules specific to light-duty vehicles to reduce downtime and extend vehicle life cycles.
  • Manage Vendor Relationships:
    1. Work with third-party service providers for maintenance, repairs, and parts procurement. Negotiate service contracts and ensure performance standards.
  • Oversee Telematics and GPS Systems:
    1. Utilize GPS tracking and telematics tools to monitor driver behavior (e.g., harsh braking, speeding), and vehicle usage. Develop relationships with supervisors and send out coaching/training to employees and supervisor after receiving GPS alerts.
  • Ensure compliance with DOT and other transportation-related regulations.
  • Provide assistance to Legal and HR with the development and implementation of fleet policies and procedures.
  • Along with Safety Director, respond to fleet incidents and accidents, ensuring timely resolution
  • Ensure fleet drivers’ compliance with and understanding of fleet policies and procedures.
  • Assist Safety Director with driver training and coaching after accident or incidents.
  • Work with HR and supervisors/management to respond to driver traffic violations.

Requirements:

  • Prefer 5 plus years of experience in fleet administration and management. Bachelor's degree, or equivalent experience, preferred.
  • Proven experience as a Fleet Manager or similar role.
  • Procurement experience preferred.
  • Familiarity with DOT, OSHA, and local transportation regulations.
  • Strong communication and leadership abilities.
  • Ability to lead, motivate, and train a team
  • Detail-oriented and compliance-driven
  • Strong knowledge of vehicle maintenance, logistics, and transportation regulations.
  • Excellent organizational and problem-solving skills.
  • Proficiency with fleet management software and Microsoft Office.
