Position Summary:

We are seeking a Medical Assistant to support our internal health-related initiatives and assist in managing employee wellness documentation, occupational health scheduling, and compliance tasks. The ideal candidate will be organized, empathetic, and comfortable handling sensitive information in a virtual environment. This role supports our HR and Safety departments in keeping our workforce safe, healthy, and compliant.

Key Responsibilities:
  • Coordinate employee health screenings, vaccination tracking, and occupational health checkups

  • Review and document employee medical records and health-related compliance paperwork

  • Schedule telehealth or in-person appointments with clinics or occupational health providers

  • Maintain accurate, confidential health records in accordance with HIPAA standards

  • Assist with COVID-19 or infectious disease tracking and reporting when applicable

  • Serve as a liaison between employees and third-party medical providers

  • Help employees complete forms related to health claims, FMLA, workers' comp, etc.

  • Support health and safety training programs or internal wellness campaigns

  • Generate weekly or monthly health compliance reports for HR leadership

Requirements Qualifications:
  • Completion of a Medical Assistant training program or certification (CMA or RMA preferred)

  • 1–2 years of experience in a medical office, occupational health setting, or HR compliance role

  • Knowledge of HIPAA regulations and medical recordkeeping best practices

  • Comfortable using scheduling, EHR, or HR software (e.g., SimplePractice, Kareo, HRIS tools)

  • Strong written and verbal communication skills

  • Highly organized, discreet, and detail-oriented

  • Tech-savvy and comfortable working independently in a remote environment

  • Bilingual in English and Spanish, Chinese, or Vietnamese is a plus

Salary:

$19 – $24 per hour , depending on experience and certifications

( Approximately $40,000 – $50,000 annually )
