Responsibilities

W e are seeking a Practice Manager who will deliver leadership in planning, guiding, and coordinating practice operations for a well-established medical practice. Maintain focus on service and operational excellence. The primary responsibilities of this position are supervision of all practice staff, fostering cohesion within the practice, managing, and coordinating the development and implementation of policies and procedures as they relate to customer service. Additionally, close collaboration with Program and Assistant Program Director of the Continuity of Care Residency clinic is imperative, to ensure adherence to program guidelines as well as clear communication and guidance to residents and staff, fostering an environment of success in meeting program goals.

 

D ay-to-Day Operations: Overseeing the daily functions of the practice, including scheduling, patient flow, and staff / resident management. 

Staff Management: Hiring, training, supervising, evaluating, and developing staff to ensure optimal performance and satisfaction. 

Financial Management: Managing budgets, tracking revenue, and ensuring accurate billing and collections.

Quality Improvement: Identifying and implementing strategies to improve patient care, staff productivity, and overall practice efficiency. 

Communication: Serving as a point of contact for patients, staff, providers, and other stakeholders, ensuring clear communication, and addressing concerns.

 

Position Summary: 

Responsible for daily operations management and supervision of assigned practice(s) in accordance with federal, state, and local standards, guidelines, and regulations. The practice manager will maintain regulatory compliance and is responsible for maintenance of licenses/certifications, primary source validation, proper credentialing with health system medical staff office and payers. Collaborates with internal and external stakeholders (CBO, marketing, quality team, business development, finance, A/P, payroll, human resources, c-suite, facilities, vendors, corporate and local administration) to ensure effective and efficient practice operations. Practice manager will be the primary practice liaison to internal and external stakeholders. Manages departmental expenses cost effectively, monitors revenue cycle operations, volume and revenue generation to assure practice budgets are met and provider subsidies are kept to a minimum. Participates in annual operating and capital budgeting and provider and employee recruitment and onboarding. Demonstrates service excellence, conveys professionalism, and maintains appropriate confidentiality at all times. Other duties as assigned. 

 

Essential Duties and General Expectations:

  • Functions capably in clinical and administrative support positions within the practices
  • Works with leadership to identify opportunities, problems, and initiates plans for decision-making and problem solving in the organization, and specifically with regards to the practices in a positive manner.
  • Directly supervises the practice staff assuring adequate coverage for all positions and arranging coverage for sick and vacation time.
  • Works with the appropriate staff in the office, assures provider schedules are at a level to achieve identified benchmarks and apprises leadership of any issues in regard to achieving benchmark.
  • Makes recommendations for staffing levels at the site based on site productivity and patient need.
  • Assures adequate provider coverage to always meet patient needs.
  • Participates in interviewing, hiring and orientation of new staff at the practices.
  • Providers oversight of bi-weekly employee timesheets and monitors time clock activities
  • Identifies areas of concern for providers and brings forward for resolution and feedback/follow-up.
  • Works with Quality and other stakeholders as appropriate in areas and initiatives
  • Strong interpersonal communication skills to effectively communicate with Physicians, other medical professionals, office personnel employees and patients.

Education:

  • Bachelor’s Degree required.
  • In lieu of degree, 5-7 years healthcare experience with at least two (2) years being in a supervisor capacity.

Work experience:

  • 3-5 years supervisory experience, preferable in a healthcare environment.

Knowledge:

  • Working knowledge of Microsoft Office software, EMR systems, medical and billing terminology, healthcare/hospital office settings, service excellence, revenue cycle operations and recruiting, training, leading and performance management of staff.

Skills:

  • Multitasking, decision making, process improvement, project management, interpersonal, communication, leadership, computer proficiency, excellent customer service and business savvy.

Abilities:

  • Operate within the concept of patient focused care.

Equipment Operated:

  • Standard office equipment (laptop, computer, calculator, fax, copier, scanner).

Mental/Physical Requirements:

  • Prolonged periods of sitting and also multi-site travel
