Role Description

This is a full-time on-site role located in Atlanta, GA, for a Fractional Executive Assistant. The Executive Assistant will be responsible for providing executive administrative assistance, supporting executives, managing expense reports, and performing general administrative tasks. Day-to-day duties include scheduling meetings, organizing travel arrangements, preparing reports, and handling correspondence. The role requires excellent communication skills and attention to detail.

 

Key Responsibilities

· Business Operations

· • Manage complex executive calendars, aligning multiple stakeholders and priorities.

· • Coordinate domestic and international travel—air, ground, accommodations, and itineraries.

· • Oversee inbox triage, prioritizing communications and drafting responses as needed.

· • Prepare board packets, briefings, and KPI summary reports ahead of meetings.

· • Support executive reporting, vendor follow-ups, and confidential correspondence.

· • Track key actions, deliverables, and dependencies across programs.

· Personal Support

· • Schedule and manage personal and household logistics—appointments, events, and errands.

· • Coordinate family and leisure travel arrangements with confidentiality.

· • Manage expense reporting, credit card reconciliations, and account tracking.

· • Handle personal communications, reservations, and gifting on behalf of the executive.

Required Tools & Platforms

• Google Workspace or Microsoft 365 (Calendar, Drive, Docs, Sheets)

• Slack / Zoom / Asana / Trello

• Expensify, Concur, or Amex Travel

• Optional: Notion, Motion.ai, or Superhuman for workflow optimization

Candidate Profile

• 5–10 years supporting Founders, CEOs, or COOs in dynamic organizations

• Proven ability to coordinate multiple calendars, projects, and deliverables

• Exercises absolute confidentiality and judgment in all matters

• Clear, professional writing and interpersonal precision

• Strong command of productivity tools and task automation

• Anticipates needs and removes friction before escalation

Engagement Details

Type: Fractional / Contract (20–30 hours per week)

Location: Remote, Atlanta GA (U.S.-based; EST availability required)

Compensation (based on experience and scope)

Initial Term: 6-month renewable engagement

Reporting To: Executive Office, The Sarah Edwin Group
