Main Function:

Schedules all surgical, pain-management procedures and preoperative appointments.

Duties and Responsibilities:

Philosophy

  1. Adheres to safety policies and procedures in performing job duties and responsibilities
  2. Maintains responsibility for safe work area by reporting to safety officer or designee observed or suspected safety violations, hazards, and policy/procedure noncompliance
  3. Responds to emergency situations with competence and composure
  4. Reports observed or suspected medical emergencies, notifies appropriate personnel, and responds appropriately
  5. Identifies facility emergency situations (e.g., fire, disaster) and notifies appropriate personnel and external agencies

Duties

  1. Schedules all procedures to be performed in facility
  2. Follows scheduling form to obtain all necessary patient demographic, health, and insurance information from physician’s office
  3. Considers priorities and patient/equipment special needs when scheduling preoperative appointments and surgical procedures
  4. Schedules appointments and procedures according to nursing and anesthesia staff availability, patient needs, and physician’s block time
  5. Coordinates surgical and preoperative appointment schedules with Administrator and preoperative nursing staff
  6. Regulates schedule according to procedure and physician’s time and staffing requirements
  7. Coordinates schedule with time and equipment availability; identifies conflicts and adjusts schedule as needed
  8. Prepares preoperative-appointments schedule and surgery schedule for review by the Administrator so that adjustments may be made as necessary
  9. Accurately prepares final preoperative and surgery schedule for timely distribution
  10. Distributes schedules to appropriate areas so that required staff and supplies are available
  11. Follows procedure for notification of changes in the schedule (e.g., cancellation, rescheduling)
  12. For new patients, assigns medical record number and enters all demographic and insurance information into computer
  13. For repeat patients, makes any necessary changes in demographic or insurance information in computer
  14. Performs other miscellaneous office/clerical duties as needed
  15. Answers telephone as needed

Qualifications

1. Cooperative work attitude toward co-employees, management, patients, visitors, and physicians

2. Ability to promote favorable facility image with physicians, patients, insurance companies, and general public

3. Ability to make decisions and solve problems

Requirements

Required

1. High school diploma or GED certificate

2. Training or courses in business office activities

3. Good typing skills

4. Good communication skills

5. Good computer skills

6. Strong ethical and moral character references

Preferred

1. Surgery scheduling experience

2. ASC experience
